This Privacy Policy is for individuals who are applying and/or being considered for any of our Productions (as further described below) or who otherwise feature in our footage or submit footage to us. This Privacy Policy describes the way that we will use your Information. 

This Privacy Policy applies to the iBiS Multimedia, LLC. The controller is the entity which will be making decisions about how your information will be used.

Please read this Privacy Policy carefully to understand our policies and practices regarding your Information and how we will treat it. A FEW DEFINED TERMS

• “Content”: we mean a piece of creative content that is not considered a Film and/or a Program, that you have either applied for, are being considered for or have been approached to appear in or to work on as a contributor or in which you have otherwise featured, and which is intended to be made publicly available (including online on social media channels). 
• “Film“: we mean a live-action, animated film, documentary (or short film) intended either for cinema or home entertainment (such as Wonder Woman or Fantastic Beasts and Where to Find Them) that you have either applied for, are being considered for or have been approached to appear in or to work on as an actor or talent, or in which you have otherwise featured.
• “Information“: we mean the information, materials and/or documents about you that you may share with us or that we collect or infer, including our footage.
• “Marketing Communications“: we mean offers, promotions, publicity, information, news and/or updates, job/casting opportunities and/or other marketing communications.
• “Privacy Policy“: we mean this privacy policy.
• “Process“: we mean operation or set of operations which is performed on Information or on sets of Information, whether or not by automated means, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.
• “Production“: we mean a Film, or a Program or Content.
• “Program“: we mean the development, program and/or series, whether a scripted or non-scripted production or documentary (including any other versions that we might create) that you have either applied for, are being considered for or have been approached to appear in or to work on as a contributor, actor or talent or in which you otherwise feature.
• “Special categories of data“: we mean data revealing racial or ethnic origin, political opinions or membership, religious or philosophical beliefs or affiliations, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a natural person, biometric templates, data concerning health or data concerning a natural person’s sex life or sexual orientation as well as information about criminal conviction and offenses or related security measures, or any other data types designated special/sensitive under applicable law.

INFORMATION SECURITY AND PRIVACY POLICY

You may browse and access information contained within this website without providing any personal information. Where you voluntarily provide personal information, we will only use that information to communicate with you regarding our services. Users may be asked for, as appropriate, name, email address and phone number. Users can always refuse to supply personally identification information, except that it may prevent them from engaging in certain site related activities.

Subject to applicable laws, we may monitor and record your emails, text messages, social media messages and other communications in relation to iBiS Multimedia, LLC dealings with you.

iBiS Multimedia, LLC will only use your personal data as necessary to perform our contract with you and as necessary for accounting, managing and auditing our business operations.

All photos or recordings, and other personal data will be kept securely to protect against unauthorized access, alteration, disclosure or destruction of your personal information.

SHARING YOUR PERSONAL INFORMATION

We will not sell, or allow third parties access to your information.

We may disclose your personal information if we are required by law to do so or if you violate our Terms and Conditions. Subject to applicable data protection law, iBiS Multimedia, LLC may share your personal data with sub-contractors and other persons who help us provide a service to you, legal and other professional advisors, Government bodies and agencies in the UK and overseas, or anyone else where you have given your consent or as required by law.

PHOTOGRAPHY AND FILMING

Images of individuals, whether in still photographs or video images, will often be caught by the definition of personal data in the Data Protection Act 1998. In many cases consent from the individuals will need to be obtained in order to process (capture and use) the images fairly and lawfully.

Consent will be obtained from people whose image is the focus of the photograph or film.

PHOTOGRAPHY AND FILMING IN PUBLIC AREAS OR AT EVENTS.

When filming in public areas or a large group of people it is not necessary to get the consent of people whose image is captured incidentally in the background.

iBiS Multimedia, LLC will display a warning notice to display that photography or filming is going to be taking place so that any individuals who wish to opt out may leave or move to an area where they will not be filmed. 

WITHDRAWING CONSENT

An individual captured in an image can withdraw their consent even after having signed the consent form. Any such withdrawal should be in writing.

Once consent is withdrawn, iBiS Multimedia, LLC cannot use the relevant images again, but it will not normally be possible to recall the media productions in which their image has already appeared.

COPYRIGHT ASSESTS

Photographs, film, sound recordings and still images are all protected by copyright. iBiS Multimedia, LLC is the owner of copyright in recordings it makes but our clients own copyright in their scholarly output and this includes the underlying presentation materials (such as PowerPoint slides) and the content of their dialogue (when fixed by a recording). iBiS Multimedia, LLC has the automatic right to use those copyright works for its legitimate purposes.  You must ensure that any third party material captured in the course of filming or taking photographs does not breach copyright, by being satisfied that iBiS Multimedia, LLC is permitted to use such material for this purpose.

This Privacy Policy sets out the data processing practices carried out through the use of the Internet and any other electronic communications networks by us.
